ADU AI ("the app", "we", "us") is an AI-powered study and advising assistant developed by the Artificial Intelligence Center of Azerbaijan University of Languages (AUL) for enrolled AUL students. This policy explains what information the app collects, how it is used, and who it is shared with.
1. Information we collect
| Category | What it includes | How it's collected |
|---|---|---|
| Account & enrollment data | Username, email address, password (stored encrypted), and — matched against the university's student records at sign-up — your full name, faculty, admission year, and study form. | You provide it during registration. |
| Chat content | The messages you send to the AI assistant (general Q&A, Study Notebook chat, and Psychological Support chat) and the AI's responses. | Generated as you use the app. |
| Uploaded documents | Files you upload to a Study Notebook (e.g. lecture notes, PDFs), used to generate flashcards, quizzes, summaries, and answer your questions about that document. | You upload them. |
| Safety & wellbeing signals | If a message indicates a possible mental-health risk, a short excerpt and a risk-level tag may be shared with authorized university counseling staff so they can follow up. | Generated automatically from chat content when risk indicators are detected. |
| Device & notification data | A push-notification token, only if you enable notifications. | Generated by your device when you opt in. |
| Preferences | Language and theme settings. | Set by you in the app. |
2. How we use this information
- To operate the AI chat, Study Notebook, and Psychological Support features
- To verify that you are an enrolled AUL student before creating an account
- To maintain your account, chat history, and preferences across sessions
- To detect and respond to indications of self-harm or crisis by alerting qualified university staff — a safety measure, never used for any other purpose
- To send you announcements and notifications, if you have enabled them
- To diagnose and fix technical problems
We do not sell your data, and we do not use it for advertising.
3. Third parties we share data with
Some data necessarily passes through service providers that help us run the app. Each is used only for the purpose below, and each is contractually or by policy bound to protect your data to a standard consistent with this policy.
| Provider | What they receive | Purpose |
|---|---|---|
| OpenAI (OpenAI, L.L.C.) | The text of your chat messages and uploaded document content | Generates the AI's responses and the search embeddings that let the assistant find relevant information. OpenAI's API does not use this data to train its models (OpenAI API data usage policy). |
| Supabase (Supabase, Inc.) | Your account data, chat history, and uploaded documents | Database hosting and authentication for the app. |
| Google (Gmail SMTP) | Your email address, for the specific email being sent | Delivers password-reset emails and safety-alert notifications to university staff. |
| Expo (650 Industries, Inc.) | Your device's push-notification token (not message content) | Delivers push notifications to your device. |
4. Data retention
We keep your data for as long as your account is active, so your chat history and Study Notebook remain available to you. You can permanently delete your account and all associated data at any time from Profile → Delete Account inside the app.
5. Account deletion
Deleting your account in the app permanently removes your profile, chat history, uploaded documents, notebooks, notifications, and any safety records tied to your account. This action cannot be undone.
6. Children's privacy
ADU AI is intended for enrolled university students and is not directed at children under 13. We do not knowingly collect data from children under 13.
7. Your rights
You may request access to, correction of, or deletion of your personal data at any time by deleting your account in-app or by contacting us using the details below.
8. Changes to this policy
We may update this policy from time to time. Material changes will be reflected on this page with an updated "Last updated" date.
